Answers from your own documents
The answer to most internal questions already exists in a policy, a handbook, or a contract — it's just hard to find. Here is how an assistant could answer from your own material, with a citation you can check, instead of a confident guess.
The bottleneck
Staff ask the same questions repeatedly — about leave, expenses, procedures, contract terms — and the answers are buried across PDFs, wikis, and shared drives. People interrupt colleagues, or guess, or give up. A generic chatbot doesn't help, because it doesn't know your documents and can't be trusted to be right.
What's possible
An assistant can be grounded in your documents and nothing else. It finds the relevant passages, answers in plain language, and shows the source it used so the reader can verify it. When the documents don't contain an answer, it says so rather than inventing one.
How it would work
- Your approved documents are indexed — policies, handbooks, contracts, procedures — and kept in sync as they change.
- A question retrieves the most relevant passages, and the answer is composed strictly from that retrieved material.
- Every answer carries citations linking back to the exact document and section it came from.
- If nothing relevant is found, the assistant declines to answer instead of guessing — and that question can flag a gap worth documenting.
- Access can be scoped so people only see answers from documents they're allowed to read.
Where it pays off
Routine questions get answered in seconds without pulling a colleague away, and the answers are trustworthy because they're sourced. Onboarding gets easier, and the citation trail means nobody has to take the assistant's word for it. Grounding and citations are what separate this from a generic chatbot — and what make it safe to rely on.
